Jenna Baze and AeroMetric Save Time In IT Support With ScreenSteps and Google Sites

Jenna Baze is the Marketing Systems Administrator for AeroMetric, Inc. a major provider of geospatial services. It is her job to make sure their sales and marketing teams have the technology tools they need to do their jobs. She does this by customizing and maintaining their web-based services and by providing support and documentation to her end users. Key tools that Jenna uses to support the teams are Google Sites and ScreenSteps.

How do you use Google Sites in your organization?

We use Google Sites for both intracompany and client collaboration. For example: we maintain sites for easy access to HR paperwork and news, organizing system tutorials and facilitating project planning for a geographically diverse team.

How do you use ScreenSteps with Google Sites?

I have provided documentation in the past using various technologies. It took a lot of time to add screen captures and format the text. I used to manually insert each image, a rather laborious task when creating detailed tutorials.

Now I use ScreenSteps to create the documentation and upload it to Google Sites. All the images are uploaded for me. I don’t have to spend time inserting each picture or reformatting text. ScreenSteps allows me to focus on improving the content.

Have your users noticed a difference?

Users aren’t aware of much of a difference in the documentation itself. The most noticeable benefit is the level of support I can offer them. Since ScreenSteps saves me time, I am able to provide better individual assistance to my users. My boss is a fan of anything that saves me time.

Can you share an example of when you have used ScreenSteps and Google Sites to help a user?

A user had a question about a feature on one of our Google Sites. Rather than write up an email and send it to her, I took an extra 5 minutes and documented the answer (with screen captures) using ScreenSteps. Once it was done, I published the answer as a new page in our Google Site and sent her a link to it. Now that information is available to all our staff and I can quickly send the same link when someone has a similar question.
